What You'll Be Doing

General Purpose of Position:

Performs a variety of duties including but not limited to: Assisting physicians with patient care, clerical handling, environmental and organizational tasks. Provides information to patients regarding clinical services, clerical duties such as: for receiving incoming telephone calls in a prompt, courteous, and professional manner and greeting/assisting visitors in the same manner.

 

Primary Responsibilities (include but are not limited to):

  • Receives and reviews the Surgical Booking Packet from all Specialists for accurate documentation.
  • Confirms the receipt of consents for special procedures as required by the different payors. 
  • Ensure that the patients have completed checked off items (journey list, bariatrics, Radiology Breast) as assigned by physicians and insurance.
  • Coordinates the surgery date with the patient and hospital departments according to the doctor’s schedule and block time.
  • Properly documents the surgical schedule in a clear and concise way and distributes to the doctor and staff as appropriate.
  • Works with hospital and patients to arrange for PAT’s and medical clearance as needed.
  • Arrange with other specialties such as GI and plastics when needed.
  • Assisting physicians with patient care.
  • Preauthorizes all procedures across all payors.
  • Provides information to patients regarding clinical services.
  • Confirms surgical appointments for the next day and relates clear instructions such as fasting, etc.
  • Submit peer to peer reviews for GI, General Surgery and all other Specialties
  • Management of phones to include answering, appointment scheduling, proper routing of calls and screening of patient requests.
  • Maintains patient confidentiality and complies with HIPAA regulations
  • confirming appointments, verify insurance, verify I.D. of each patient, pre-authorizations, no auto RX refills without Doctor’s permission, problem log, return phone calls, patient paperwork to be completed within 72 hours, patients are seen in order of scheduled appointment.
  • Other duties as assigned.

What We're Looking For

Education, Skills and Experience Requirements:

  • High school diploma or general equivalency diploma (GED)
  • Bariatric and GYN scheduling a major plus
  • Electrocardiogram (EKG), vital signs, venipuncture, capillary and injection experience
  • Minimum of one year of recent experience working in a medical facility as a medical assistant or externship completion in a medical office.
  • Minimum three to five years of scheduling experience, with one year of experience in a clinical setting, preferably a medical practice.
  • Knowledge of medical practice protocols related to appointment scheduling.
  • Knowledge of medical terminology for interpreting physician instructions and patient needs.
  • Knowledge of confidentiality requirements related to patient information.
  • Ability to communicate instructions clearly.
  • Ability to collaborate with all levels of clinicians and staff to meet needs.
  • Ability to analyze data reports and make recommendations for improvement.
